About this role

The Royal Armory is Sweden's oldest museum and part of the National Historical Museums. We are the museum of Sweden's royal history, located in the Royal Palace in Stockholm. We are currently seeking a Booking Coordinator who wants to contribute to creating memorable public experiences for our visitors. **About the Position** As a Booking Coordinator, you will handle bookings for guided tours for both schools and other groups. You will also manage the rental of our facilities for various types of events. You will respond to inquiries and administer bookings from schools and the general public wishing to visit the museum. In terms of rental operations, you will oversee everything from the initial inquiry to final invoicing. **Guided Tours** – You will be the museum's point of contact for teachers, schools, and the public. You will have a good knowledge of our tours and guide teachers and visitors to what suits them best. You will communicate with the museum's educators to ensure that tours are planned and executed smoothly. **Rentals** – You will drive and develop our rental operations for various types of customers. You will handle inquiries from clients regarding venue rental for events, meetings, and arrangements in the museum's historic environments. You will collaborate with colleagues to ensure that events are prepared and executed effectively. You will also manage invoicing and follow-up. You will staff the museum's booking phone daily, receiving inquiries of various kinds and providing information about our operations. You will collaborate with colleagues regarding follow-up and statistics. You will work closely with the museum's curators, educators, hosts, and other staff to create a welcoming and professional experience for all visitors. You will also interact with other agency staff on matters related to your work. **Responsibilities** You will be responsible for the museum's various types of bookings by: - Receiving inquiries via phone and email. - Communicating with teachers and the public to offer them the right tours for their needs. - Planning and scheduling tours and rentals in our booking system. - Providing on-site service to customers by showing our facilities. - Ensuring that the venues are in order for rentals and events. - Following up on bookings, invoicing customers, preparing documentation, statistics, and other administrative tasks. - Working towards a vibrant and business-oriented rental operation in the museum. **Qualifications** - Experience in administrative work and customer service. - Experience working with bookings and coordination. - Strong organizational skills and accustomed to working in a structured manner during high-paced periods. - Excellent verbal and written communication skills in Swedish and good proficiency in English. - Good digital competence and experience working with various systems. **Meritorious** - Experience working with booking systems. - Experience in conference, event, or rental operations. - Experience collaborating with schools or working in the cultural/museum sector. - Experience in invoicing or basic financial administration. We place great emphasis on personal qualities. The position is a permanent full-time employment with a 6-month probationary period. Salary according to agreement. Start date March 1 or by agreement.
