JOB RESPONSIBILITIES We are seeking an employee for a temporary position as a Substitute Coordination Coordinator within the new operational area of Joint Personnel and Schedule Provision (GPS). You will be part of the Substitute and Recruitment units and responsible for meeting the need for hourly substitutes from various social services departments. You will primarily be responsible for handling substitute requests received through the staffing system. This position also includes being able to work with detailed planning of care and support services in home care and support the Schedule and Planning unit. The work involves putting together a large puzzle every day. You will primarily work in the Time Care Pool staffing system, where close collaboration with departments and managers is a crucial part of the job. Other systems you will work with include Time Care Planning Multi Access, Winlas, VIVA, and potentially systems like Welfare, IPA, Personec, among others. Using the staffing system, you will schedule the right substitute with the right competence to the right workplace at the right time. This can involve both urgent short-term needs and planned long-term needs such as vacation or other absences. The role also includes reviewing substitute needs in the departments, planning and scheduling introductions for both permanent staff in the personnel pool and hourly employees. You will perform checks on time rules related to daily and weekly rest according to working hours legislation and maintain ongoing dialogue with various roles from different departments. The assignment includes following up substitute placement and resource utilization and providing documentation to management for monthly follow-ups. Additionally, you will train new employees in the Time Care Pool system. You need to be comfortable conducting follow-up conversations with substitutes during introductions and able to provide feedback. The role also involves assisting the unit with recruitment, such as conducting interviews and performing administrative tasks related to recruitment when needed. It is important to stay informed and updated and to be able to collaborate and interact with others in a responsive manner. You need to enjoy having many contacts via phone and email. You must be able to adapt, develop, and learn new skills according to changing requirements and conditions, given that this is a new operational area. Weekend work is included in the position. QUALIFICATIONS • Complete high school education or other education deemed equivalent by the employer • Experience in staff scheduling, preferably within a larger organization • Some experience working with staffing planning systems/IT-based support systems such as Personec, TimeCare, Winlas, and TimePool • Very good IT skills and basic computer knowledge • Excellent Swedish language skills, both verbal and written • Knowledge of labor law, LAS, and work in a politically governed organization or similar environment Meritorious: • Previous experience in detailed planning of care and support services • Experience working in 24/7 operations • Class B Driver's License We Are Seeking Someone Who: • Works according to a clear process, completing what they start.
