Do you want to contribute to creating safe, functional, and well-maintained facilities for Malmö's youngest? We are now seeking a Maintenance Coordinator with special responsibility for Systematic Fire Prevention Work (SBA) for the Local and Property Support unit at the Preschool Administration.
Work Tasks
As a Maintenance Coordinator, you will provide the best possible support to the administration's preschools on matters relating to our facilities. You will receive, assess, prioritize, and distribute incoming cases in our case management system, ensuring they are handled efficiently and with high quality.
You will collaborate closely with local coordinators, caretakers, property owners, and external contractors to plan and follow up on measures. An important part of the assignment is to analyze recurring operational problems and contribute to long-term and sustainable solutions.
Your Main Tasks
• Receive, assess, prioritize, and distribute incoming cases
• Order and follow up on internal and external services
• Collaborate with local coordinators, caretakers, and property owners to plan and implement measures
• Follow up on status and quality of completed assignments
• Collaborate with property owners on maintenance and warranty issues
• Participate in preventive maintenance and facility adaptation planning
• Identify recurring operational problems and propose improvement measures
• Analyze statistics and report trends and development needs to the unit manager
• Contribute to the development of work methods, routines, and digital support tools
• Collaborate with planning secretaries on the development and use of the case management system
• Responsible for coordination, follow-up, and control of the administration's systematic fire prevention work
• Act as support and advisor to preschools in systematic fire prevention work
Qualifications
We are looking for someone who is structured, solution-oriented, and proactive. You have a strong service mindset and a desire to contribute to a well-functioning operation. You have good collaboration skills and enjoy working in teams as well as independently.
You have good Swedish language skills in both spoken and written communication.
Experience
• At least 5 years of experience working with property management, operations, maintenance, and facility administration
• Experience with case management and coordination in complex organizations
• Knowledge of boundary lists, contract management, and maintenance processes
• Good system proficiency (case management systems, Office 365, Excel)
• Ability to interpret technical maintenance issues and prioritize actions
It is meritorious if you also have:
• Understanding of municipal governance, service assignments, and procured services
Education
• Academic degree in property management, construction engineering, property economics, urban planning, or similar
or
• Vocational college education in property management, construction, technology, operations, and systematic fire prevention work
It is meritorious if you have also completed SBF fire prevention training and/or training in any of the following areas:
• Project management
• Case management
• Digitalization
• Service management
• Public administration
About the Workplace
As part of the Local and Property Support unit, you will be part of a competent team of 17 employees, consisting of local coordinators, caretakers, and maintenance coordinators. Our work takes place in close collaboration with other functions within the Preschool Administration. We have a good and open dialogue climate and care about a good work environment. Work is performed at our office in central Malmö but also digitally through remote work. To be successful in our assignment, we focus on professional and good relationships and a positive work climate.
The Local and Property Support unit develops and improves physical environments in collaboration with preschools and property owners. The unit also provides support and service to the administration's operations, drives development, and participates in city-wide investigations.
The Preschool Administration is one of the largest administrations in the City of Malmö, with approximately 4,600 employees who daily meet around 15,500 children and their guardians at our 190 preschools.
