City Executive Office is the administrative body of the City Board. We are responsible for managing, following up, and developing the city's operations based on the vision and budget decided by the City Council. We are just over 350 employees who primarily work with strategic issues of great importance for the city's operations.
We Are Now Seeking a Registrar for a Temporary Position at the City Executive Office's Legal Department, at the City Council and City Board Secretariat (KF/KS)
Welcome to Us
The KF/KS Secretariat is a unit within the City Executive Office's legal department and serves as the service organ for the City Council and City Board.
We Perform Secretarial Tasks for the City Council and its Nominating Committee, City Board, Committees, Working Groups, and Councils. We are responsible for the City Board's registry, compensation issues, election matters for the City Council and City Board, and we participate in several development projects within case, document, and information management. We maintain contacts with political groups, party offices, City Executive Office departments, city administrations, etc. We are 13 employees led by the City Secretary/Unit Manager and have our workplace in City Hall.

Your Role
You will work with ongoing tasks within the registry. Your daily work includes assessing how various documents should be handled, providing service and answering questions from elected officials, civil servants, and the public. You have an important societal assignment where you contribute to legally secure management of the City Board's public documents.
The Role Also Includes:
- Receiving, registering, and archiving public documents, handling mail and function mailboxes
- Coordinating and forwarding information to various administrations, companies, and departments within the city
- Handling requests for releasing public documents
- Providing support and training to the City Executive Office in information management
- Contributing to improving document management routines and processes
If needed, you will also perform other tasks within the department's area of responsibility, such as in connection with council meetings. The group consists of five registrars, five committee secretaries, two archivists, one strategist, and one unit manager. You will report to the unit manager.
Your Competence and Experience
We Are Seeking Someone Who Has:
- Higher education for registrars, is a certified registrar, or has other relevant education and/or experience that the employer deems equivalent and relevant
- Good knowledge of laws and regulations governing document management in public administration
- Current experience working as a registrar in the public sector
- Experience in informing and advising on record-keeping and information management
- Good Swedish language skills, both spoken and written
- Basic IT skills, primarily in the Office package, and ability to quickly learn new systems
It is Meritorious If You Have:
- Experience with the city's document and case management system eDok (Platina system support)
- Experience with development work focusing on efficient and digital processes
- Experience working within Stockholm City
