About this role

The Headquarters Document Management Department (HKV DokhA) is now seeking a meticulous and responsible registrar who wants to play a central role in the Swedish Armed Forces' document management. The department's task is to support the Armed Forces Headquarters in its administrative functions with continuous document and case management, aimed at documenting, managing, and making public records accessible today, tomorrow, and over time. The Armed Forces' document management encompasses all handling of public documents regardless of format and confidentiality level throughout the entire preparedness spectrum of peace-crisis-war, both nationally and internationally. HKV DokhA consists of a department divided into six sections: Expedition L24, Expedition Tre Vapen, Expedition V117, International Expedition, Archive, and Transport Section. **About the Position** As a registrar at the Armed Forces Headquarters and the International Expedition, you will play a central role in our document management. You will handle incoming and outgoing documents, ensure they are managed correctly, and ensure that the right information is in the right place at the right time. You will help ensure that our processes comply with applicable laws and regulations, and that sensitive information is handled appropriately. You will also provide support and service to case officers on document management issues and staff our internal customer service desk. In addition, you will handle inquiries from the public and work on other tasks within the department. **Main Responsibilities** - Registration and logging of incoming and outgoing documents - Ensure that documents are handled in accordance with the Public Access to Information and Secrecy Act - Work with some archiving - Participate in the development of routines and processes for document management **Qualifications** - Experience working as a registrar or in administration, or possess other experience deemed equivalent by the employer - Very good computer skills - Excellent ability to express yourself verbally and in writing in Swedish and English - Ability to work in a structured and meticulous manner, even under stress - A valid driver's license for manual transmission **Desirable** - Experience with similar tasks, particularly within the Armed Forces. **Personal Attributes** We are looking for someone who is meticulous, responsible, and structured. The Headquarters has approximately 1,000 employees – both professional officers and civilian experts. As of January 1, 2023, the Headquarters consists of the Defense Staff, Operations Command, Military Intelligence and Security Service, as well as the Headquarters Staff Department and independent supervisory units. Employment with us means placement in a security classification. Typically, Swedish citizenship is required. A security clearance with a background check will be conducted prior to employment in accordance with Chapter 3 of the Security Protection Act.
