The Traffic Office is responsible for managing and developing Stockholm's public spaces to ensure they are safe, attractive, accessible, and sustainable. Welcome to us The Information Management Unit is part of the Operations Support Department, which has a broad responsibility for most of the Traffic Office's support processes, such as HR, IT, security and preparedness, feedback management, and committee administration. In the Information Management Unit, we are 17 employees, each with different areas of responsibility but with a common goal: to manage and support the Traffic Office's information-related work and development in the areas of archives and registration, information security, and data protection in accordance with applicable legislation and the City of Stockholm's guidelines. The Information Management Unit also works on behalf of the Exploitation Office. Do you want to work where information security meets public benefit? Become our new registrar/security protection registrar and take on a central role in the development of the Traffic Office's information management. Your role As a registrar, you will be part of a workgroup with three other registrars, collaborating on the incoming and outgoing documents of the Traffic Office and the Exploitation Office. Your tasks will include opening, handling, distributing, and registering mail and emails, as well as archiving. Employees at both offices register their outgoing documents themselves, but your job will include providing support and service to case handlers and managers. Since there are security protection classified documents within the operations that require special handling, the registry also serves as a security protection registry. The Traffic Office and the Exploitation Office conduct activities that are of great interest to the city's residents. Therefore, the release of public documents in accordance with the principle of public access is an important task, which also includes confidentiality assessments. As a registrar, you will assist citizens, journalists, and other authorities in retrieving documents and, if necessary, help them navigate further within the organization. Most customer contacts will occur via email and phone, but also in-person visits, which means you will primarily work on-site at the Technical Committee House. Most case management is conducted digitally in the case management system Public 360, which is also used as a standalone document management system. The registry is responsible for support and training in Public 360 and participates in the development of routines and processes for information management. Your qualifications and experience We are looking for someone who has: - A high school diploma - Registrar training (diploma program or at the university level) or has several years of experience as a registrar, document controller, or equivalent - A good ability to express yourself well in spoken and written Swedish - Basic knowledge of English - Basic IT skills, primarily in the Office suite, and an aptitude for learning new systems. It is advantageous if you have: - Experience handling security protection classified documents - Experience working in public administration - Knowledge of laws and regulations regarding public documents, primarily the Freedom of the Press Act and the Public Access to Information and Secrecy Act - Practical experience applying the above laws when releasing public documents. As we have extensive contact with both internal and external individuals, you need to be attentive, possess a good sense of service, and have strong communication skills. You approach others calmly and professionally. We place great importance on you being a structured, organized, and meticulous person who takes responsibility for driving your own work forward. Working in a group with other registrars means you need to be flexible and enjoy collaborating with others. Additional Information In connection with the recruitment process, we may use psychological selection tests. Employment with the Traffic Office may involve placement in a security classification. A security assessment with a background check according to the Security Protection Act (2018:585) may therefore be conducted before a hiring decision is made.
