The Social Services Administration of Stockholm City has an overarching and coordinating role for individual and family care social services and the disability sector. Here, good conditions are created to meet residents in need of social services support. In close collaboration with district administrations, we contribute to a modern, digital, legally secure, equal, and knowledge-based social service with a strong development focus. Within the administration, a wide range of support services are offered to the city's residents, and the offerings change based on Stockholm residents' needs and district administrations' wishes. Work often occurs in close cooperation with other authorities, civil society, and the business sector. The Social Services Administration is also responsible for the city's restaurant and tobacco permits and performs supervision.
Do you want to contribute to the social services of the future? We are now seeking an experienced, structured, and proactive project administrator for a planned ESF project focusing on skills development within social services.
About the Project
Social services are undergoing a major transformation due to the new Social Services Act. The skills development project for future social services, funded by the European Social Fund (ESF), aims to equip employees and managers for future requirements through various skills-enhancing initiatives, both digitally and in-person. The project is an important investment in the city where we, together with the Elderly Administration, district administrations, and other actors, develop new ways of working and learning. The new Social Services Act, in brief, means that social services shall work more preventively and offer early interventions that do not require needs assessment. The work shall be knowledge-based and regularly followed up to develop.
Your Role
As a project administrator, you have an important role in the project and contribute to implementing the work in a structured and efficient manner. You will work closely with the project manager and project economist in a team where collaboration and personal responsibility go hand in hand. You are responsible for developing and quality-assuring administrative routines and processes, and ensuring that the project's documentation meets ESF requirements. The work occurs in close cooperation with the Elderly Administration, district administrations, and other actors inside and outside Stockholm City.
Your main tasks include:
- Supporting the project manager in daily work and ensuring the project follows ESF requirements and routines
- Independently driving and following up parts of the project's activities
- Formulating and being responsible for administrative routines in the project, e.g., record-keeping and archiving
- Compiling and managing documentation such as reports, minutes, and survey responses
- Creating invitations and information materials about skills development initiatives
- Managing participant administration, including registrations and participant reporting
- Booking venues and coordinating practical details for training activities
- Contributing to project follow-up and reporting to ESF
Your tasks may be updated and complemented during the project period.
Your Competence and Experience
We are looking for someone who has:
- Completed high school education
- Experience working in projects
- Excellent ability in project administration/other administration
- Good knowledge of all Office package programs (Outlook, Word, Excel, PowerPoint)
- Good Swedish skills, both spoken and written
It is meritorious if you have:
- Experience working in ESF-funded projects or other EU-funded activities
- Academic studies or other relevant courses suitable for the position
- Knowledge of ESF regulations and documentation requirements
- Experience with similar work as described, within public sector, preferably in Stockholm City (ideally from labor market, elderly, or education administration)
