We are looking for a structured and service-oriented project administrator who wants to contribute to the smooth and efficient running of a larger project. This is a part-time consulting assignment where you will play a central role in supporting the project manager and project team with administrative and coordinating tasks. You will be a key person in maintaining order in documentation, communication, and practical details of the project.
**Responsibilities**
• Meeting administration: schedule meetings, prepare and distribute agendas, create meeting materials, take minutes, and follow up on action points.
• Document management: collect, structure, and archive the project’s documentation, including analyses, plans, and contracts.
• Resource and timeline planning as well as budgeting: support the project manager with tracking timelines, deadlines, and resource usage, and assist with budget monitoring, invoice management, and expense reporting.
• Support for project and work stream leaders: create templates, coordinate across work streams, assist with training materials and presentations, and manage practical issues.
• Communication: act as the administrative contact person for the project, manage internal and external communication, and disseminate information to project members and stakeholders.
**Who are you?**
You are a structured and detail-oriented person with excellent administrative skills. You thrive in a coordinating role and are communicative and service-minded. You work independently, take initiative, and have a knack for creating order in complex project environments.
