We are now seeking a substitute for our HR administrator who is on leave. The HR function is part of the department's support operations, currently consisting of 18 administrators and case officers in various roles. Job Responsibilities As an HR administrator, you will provide support for HR-related matters to department management and staff. You will work broadly with ongoing personnel administration in the university's various personnel systems. This primarily involves managing cases in the personnel system Primula - such as new hires, changes/extensions of employment, vacation and leave, healthcare, medication, and wellness reimbursements. Our HR administrator also provides administrative support in various parts of our recruitment processes in the ReachMee recruitment system. You will be HR support for hiring associate researchers and research assistants, which you will recruit together with the responsible person in each project. Other tasks include preparing various documents (e.g., decisions, negotiation basis, agreements), compiling personnel statistics, calculating employment duration, employee onboarding and offboarding, and record-keeping. The work involves extensive personal contact with existing, new, and temporary staff. The HR administrator also participates in various HR forums and networks at the university with the aim of continuously improving and developing HR work at the agency. Qualifications We are seeking candidates with a college/university education in HR/Personnel Administration or equivalent experience that the employer deems comparable. You should have previous experience working with personnel matters relevant to the position, with experience in personnel and payroll administration in public administration, particularly in the university and higher education sector, being advantageous. The position requires high proficiency with computers, and we prefer candidates with experience in the Primula personnel system. Previous experience with programs such as ReachMee, GUDOK, GUPAIDA, POP, and Datalagret is also meriting. You need to be comfortable driving certain recruitment processes and be well-versed in current regulations for employment work. As the position involves collaboration with our international staff, you need excellent Swedish and English skills, both spoken and written. The work requires you to independently plan and drive your work while also collaborating with the department's HR officers and other internal/external contacts. As a person, you are motivated, flexible, and without unnecessary pride. To thrive in the role of HR administrator with us, you should have an interest in working closely with people, understanding personnel matters, and administrative work in general. We place great importance on you being structured, detail-oriented, and able to interact with all individuals in an organization in a positive and professional manner. Employment This is a substitute position at 50-80% of full-time until 2026-04-30 or until the regular employee returns to service.
