About this role
On behalf of our client, we are seeking an experienced and proactive Operations Coordinator for a leading pharmaceutical development company in Lund. The assignment starts immediately and runs until August 2026.
This role is ideal for someone who thrives close to the core of operations, someone who brings processes together, coordinates workflows, and ensures that complex research and development environments function effectively. You will work in an international organization where quality, precision, and structure are crucial.
About the position
You will be the hub of a research and development-oriented team, responsible for coordination, communication, and operational administrative processes. The role is broad, the pace is fast, and you will have many points of contact both internally and externally.
Your main responsibilities
Meetings and Communication
• Manage agendas for management and functional meetings
• Coordinate meetings and support with presentation materials, information dissemination, and meeting notes
Administration and Travel
• Approve timesheets and vacation requests in Aspia
• Handle travel expense reports and reimbursements
• Be responsible for and coordinate travel bookings for relevant team members
Contract Management
• Support the contract management process, including template selection and contract drafting
• Coordinate workflows for contract review and ensure compliance with SOPs
• Manage supplier communication and follow-up
• Oversee signing processes in AdobeSign and ensure proper archiving in CMS
Support for Research and Development
• Coordinate larger internal meetings and events within Science and Clinic
• Maintain and update the R&D conference overview
• Manage sample tube deliveries for CMC
• Provide operational support for MRC and PRC processes
Other Responsibilities
• Ensure that administrative routines are followed and contribute to the development of work methods

• At least three years of experience in qualified coordinating or administrative work
• Excellent ability to plan, prioritize, and organize
• Strong communication skills
• Fluent English, both spoken and written
• High IT proficiency and quick learning ability in new systems
• A positive, professional, and discreet demeanor
• Ability to build relationships and establish trust
Meritorious
• Experience coordinating larger meetings and events
• Experience creating presentation materials
• Scientific interest or background
• Work experience in life sciences or healthcare
