The role means you will be part of the committee office, which currently consists of two registrars, three committee secretaries, an archivist, and a head of office. We are now looking to hire another committee secretary. RESPONSIBILITIES
As a committee secretary, you will enjoy a varied job at the center of the political process, and we are looking for someone with several years of experience in a similar role. Based on your assignment, you are accustomed to preparing and carrying out the committee's meetings and serving as support to elected representatives, administrators, and managers. You have a crucial role in the collaboration between administration and politics.
The position also offers the opportunity to be involved in developing the work within the committee office. The committees that the office supports are:
- Children and Education Committee
- Building and Environment Committee
- Culture and Recreation Committee
- Municipal Executive Committee
- Social and Labor Market Committee
- Elderly Committee
- Technical Committee
We are looking for someone who feels confident in their professional role, takes responsibility for their tasks in a structured and organized manner, and quickly adapts to new circumstances. Your strong social skills will be beneficial as the role involves working with a wide network within the organization, where your ability to build trust and good relationships is of utmost importance.
As a committee secretary, you will work on:
- Preparing and conducting the committee meetings, including establishing agendas and minutes, dispatching decisions, and handling other tasks related to a meeting
- Acting as support for administrators and managers related to the case preparation process
- Managing the municipality's central administration and document handling, including handling and registering documents from all of the municipality's seven committees and the municipal executive committee
- Participating in the ongoing work with the committees’ official emails, incoming documents, releasing documents, and archiving through the municipality's case management system
- Handling incoming queries from the public
QUALIFICATIONS
- Bachelor's degree or higher in public administration, political science, or other education deemed equivalent by the employer
- Experience as a committee secretary within municipal administration
- Experience in the public sector and/or politically governed organization
- Excellent knowledge of Swedish, both spoken and written
Meritorious
- Experience with digital case management systems
- Experience as an administrator within municipal administration
