Welcome to the Municipal Executive Office. Here, you will work alongside colleagues in the departments of communication, HR, IT, finance, procurement, and property, as well as in the departments of quality and planning, sustainability, safety, security, and preparedness, as well as the secretariat. The Municipal Executive Office also houses the organizations for business and destination, as well as shared services. The Municipal Executive Office serves as the link between the decisions made by our elected representatives and all municipal operations. The secretariat department is tasked with supporting committees, administrations, and municipal companies from the holistic perspective of the municipal council and the municipal executive board. Here, you will find the municipality's consolidated resources for committee administration, registration, city archives, and legal matters for the municipality's committees and administrations. We are approximately 80 employees working in modern facilities at Uppsala Municipality's city hall, conveniently located next to the central station in Uppsala city center. In Uppsala Municipality, the committee process is primarily digital, and we continuously work on enhancing efficiency and quality assurance. Together with your colleagues in the unit, the secretariat department, and the municipality, you will participate in the ongoing work to develop common routines and working methods. Work will primarily be during office hours, but evening work may occur. Job Description As a committee secretary, you will be responsible for ensuring that the committee process within the Elderly Committee and the Care Committee is efficient, quality-assured, and legally secure. You will achieve this by quality-assuring decision-making materials, coordinating cases, and practically planning the committees' meetings, as well as taking minutes and handling any follow-up work. You will collaborate closely with both elected officials and civil servants and will have contact with the public. You are expected to provide advice and support regarding committee formalities, fee management, and other issues, as well as contribute to the development of Uppsala Municipality's central committee secretariat. Qualifications We are looking for someone with a university degree in public administration, political science, or another relevant field that the employer deems suitable for the position. The work requires experience in qualified administrative tasks. We also expect you to have excellent Swedish language skills, both spoken and written, as well as good IT skills. Experience as a committee secretary is considered an advantage. Experience in administrative work within the care sector and familiarity with digital case management systems, such as Public 360, is also advantageous. Knowledge of municipal and administrative law, as well as public access and secrecy laws, is a plus. As a person, you take initiative and start activities while achieving results. Furthermore, you see the bigger picture and consider the broader perspective. You understand your role while prioritizing the best interests of the entire organization in your actions and decisions.
