The Traffic Office is responsible for managing and developing Stockholm's public spaces to ensure they are safe, attractive, accessible, and sustainable. You will become part of the Support and Development Unit within the Business Support Division at the Traffic Office.
The unit consists of approximately 10 people working in various supporting functions such as committee administration, business development, and client support. Here, you will work in a new role developing support processes for facility and well-being issues, supporting the office's managers and operations, and contributing to creating good conditions for a pleasant office environment with excellent internal service. Your Role
As a coordinator, your role is to coordinate facility issues and office-wide initiatives to make the Traffic Office a professional and pleasant workplace. You will handle practical matters regarding meeting rooms, inventory, and internal service, develop working methods for these areas, serve as a contact person and requirements setter for office issues, and organize office-wide activities such as staff parties and seminars. You will provide administrative support to the Business Support Division with conference bookings, farewells, and orders, take meeting notes, keep minutes, and conduct simple mapping/investigations. In this role, you will coordinate planning, authorization management, and follow-up of the office's emergency facilities and fire protection issues. We also see that this position may become an important part of the office's crisis management and may be security classified, thus requiring a security screening.
The role is similar to an "office manager" and involves independently driving your areas of responsibility while collaborating with different parts of the organization to develop support processes for comfort and facility issues. The position is new, and there are excellent opportunities to grow in the role and be involved in its development.
Your Competence and Experience
We Are Seeking Someone Who:
- Has a relevant post-secondary education and several years of professional experience in a similar role, such as Office Manager, Coordinator, or Office Administrator.
- Easily builds relationships and communicates well in Swedish, both verbally and in writing.
- Is accustomed to working proactively and has strong administrative skills.
We are looking for someone helpful, structured, and good at driving their issues. You are decisive, solution-oriented, and enjoy working in a coordinating and social role with administrative elements and many contact points. We envision someone who is social, communicates easily, collaborates well, and builds relationships. You are also skilled at prioritizing, handling both large and small issues, and believe it is important to have a fun and pleasant workplace.
