Workplace Description The Examination Department is a centralized operation that coordinates and staffs examination sessions for the university's students. The department handles approximately 100,000 exam room seats annually across four different locations. The department also administers the Swedish Scholastic Aptitude Test (Högskoleprovet) for southwestern Skåne across 8 locations. The Examination Department consists of 31 employees, with administration located at Ideon, Beta 6. The section also includes Facility Coordination, Facility Planning, and Safety & Environment. Job Responsibilities and Areas of Responsibility The Swedish Scholastic Aptitude Test is organized twice a year, with Lund University responsible for the test at 8 locations in southwestern Skåne (Lund, Trelleborg, Ängelholm, Eslöv, Helsingborg, Malmö, Ystad, and Landskrona). The Coordinator's role is to lead the work for the Scholastic Aptitude Test, including the following tasks: • Holding overall coordination responsibility • Processing test registrations • Leading the assessment of test-takers' needs for special support • Acquiring locations • Recruiting and training staff (test leaders, assistant test leaders, head test leaders, and material coordinators. Approximately 700-900 people per occasion) • Serving as contact person for registered participants (approximately 900-1,200 participants per occasion) and answering questions via email and phone • Coordinating material for all test rooms The Coordinator is also Lund University's contact with the National Agency for Higher Education's test organization. This involves monitoring the test's development at the national level. The Scholastic Aptitude Test is organized twice a year, which means some periods are more work-intensive than others. It is therefore important that you can handle high tempo and multiple parallel tasks without compromising quality or interpersonal interactions. You are comfortable making decisions under time pressure and maintain composure in stressful situations. We appreciate individuals without ego and with grit who can roll up their sleeves and step in when needed. You need to have experience leading and coordinating larger processes or projects previously. It is important that you take responsibility for all sub-components to be implemented and meet deadlines. The work involves receiving registrations during the registration period, evaluating certificates, managing contacts with caretakers for existing test locations, and finding new test locations. Recruiting test supervisors, packing materials, and delivering materials to test sites are also part of the position. The position involves weekend work during test occasions, which may require driving to locations where the test is conducted. During test occasions, physical tasks such as driving postal containers and carrying boxes of test materials are included. You will also need to visit test sites regularly throughout the year, and it is beneficial to have access to your own car. Between test periods, the position includes performing tasks related to the Examination Department's operations.
