Workplace Description
The municipality's contact center belongs to the HR department, which consists of a team of three HR employees, two receptionists, three service department employees, and an HR manager.
The contact center is the municipality's public face and serves as a central point for residents, businesses, and visitors. Our operations are also guided by the municipality's core values: sustainable development, security, and participation.
We are now seeking a receptionist and telephone operator who wants to contribute to quality and support in the municipal contact center. We offer a varied and developmental role where you will work closely with both citizens and colleagues, making a difference every day.
Job Description
As a receptionist and telephone operator, you will work with an experienced colleague to ensure professional and service-oriented interactions. You will be responsible for receiving and handling incoming calls to the municipal switchboard and welcoming and guiding visitors in the municipal building.
The role involves providing accurate information, guidance, and support on matters related to municipal services, support, and public functions. The tasks include both qualified support and administrative duties, which require flexibility and the ability to switch between different work tasks.
In interactions with people, your approach is crucial. You need to be able to address residents in difficult or emotionally challenging situations with empathy and professionalism. The work can be intense at times, with many incoming calls while multiple visitors are waiting for assistance. Your ability to remain calm, prioritize, and handle multiple parallel tasks is therefore a central competence in the role.
Tasks include:
• Receiving cases, applications, and answering questions about all municipal operations. Common inquiries involve economic assistance, elderly care, building permits, childcare, etc.
• Receiving visitors and packages, handling bookings, providing applications and forms, guiding to the correct department, and assisting staff.
• Responding to contact center email inboxes, handling technical issues with phones and subscriptions, administering access cards and keys, and ordering phones and accessories.
• Booking weddings and civil funerals, releasing confidential documents, certifying proof of life, and administering the municipal building's alarm and access systems.
Qualifications
To succeed in the role, you need to have a post-secondary education in public administration or another equivalent education. Excellent communication skills, both verbal and written, are required, as we need to explain complex information in a simple and comprehensible manner. We also seek good digital competence and comfort working with administrative systems. An in-depth understanding of how confidentiality legislation is applied in public administration is important, as well as good English skills to support citizens who do not have Swedish as their native language.
Experience in service work and familiarity with dealing with people in challenging situations is meritorious. Knowledge of municipal operations and previous work in reception or telephone support is valuable.
