The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. The Transport Department (TA) is tasked with transporting and supervising individuals deprived of their liberty. It is the clients of the Swedish Prison and Probation Service who are moved between remand facilities and prisons, to court hearings, hospitals, and more. TA also transports individuals deprived of their liberty for organizations such as the Police, the National Board of Institutional Care, the Migration Agency, and psychiatric services. The department consists of 1,200 personnel distributed across four units. We are now seeking an Administrative Officer for the Planning Section South, based in Arvidsjaur or Malmö. Interviews will take place on December 19. JOB RESPONSIBILITIES As an Administrative Officer, you will manage incoming mail and emails, as well as the administration of cases and documents, such as referrals and transport documents. You will be responsible for the registration of cases and documents. You will handle the administration of the section's internal website (Krimnet) and be responsible for meeting administration within the section. You will conduct self-assessments within the section's area of responsibility and support the section manager with preparatory administration in the area. You will also be responsible for all permissions. The role also includes everything related to orders and invoices (proceedo). Furthermore, you will handle inquiries from the public, other authorities, and the media regarding access to public documents. You will support and train internal employees in document handling, case registration, and the use of digital tools. Additionally, you will actively participate in the unit's development and quality assurance work. QUALIFICATIONS The role of an administrator is a service and quality assurance function. In this position, it is essential that you are meticulous, capable of working both independently and in close collaboration with others within the section and unit, as well as with other stakeholders both within and outside the authority. You work well with others. You are calm, attentive, and accommodating in your interactions. You make sound judgments and prioritizations and are self-driven. You easily adapt to changing circumstances. You take initiative, start activities, and achieve results. We are looking for someone who has: • A high school diploma or equivalent education combined with experience deemed relevant by the Swedish Prison and Probation Service. • Experience working as an administrator within public administration. • Excellent proficiency in spoken and written Swedish. • Strong computer skills and the ability to work in Word and Excel. • Experience working with document and case management systems. Preferred qualifications include: • Experience in case registration and handling of public documents. • Experience working within the Swedish Prison and Probation Service. • Knowledge of the Swedish Prison and Probation Service's Access Portal program. • Good knowledge of working in the case management system Platina. • Experience in educational work. • Knowledge of regulations regarding the handling of public documents. • Understanding of the organization of the Transport Department.
