We are looking for a receptionist to manage our front desk daily and perform a variety of administrative and office tasks.
Responsibilities
• Welcome guests as soon as they arrive at the office
• Direct visitors to the appropriate person and office
• Answer, screen, and forward incoming phone calls
• Ensure that the reception area is tidy and presentable, with all necessary office supplies (e.g., pens, forms, and brochures)
• Provide basic and accurate information in person and via phone/email
• Receive, sort, and distribute daily mail/deliveries
• Maintain office security by following security procedures and checking access via the reception desk (monitor logbook, issue visitor badges)
• Order office supplies and manage inventory
• Update calendars and schedule meetings
• Arrange travel and accommodations, and prepare vouchers
• Keep updated records of office expenses and costs
• Perform other office reception tasks such as filing, copying, transcribing, and faxing
Requirements and Skills
• Documented work experience as a receptionist, front desk representative, or in a similar role
• Proficiency in Microsoft Office Suite
• Practical experience with office equipment (e.g., fax machines and printers)
• Professional demeanor and appearance
• Strong written and verbal communication skills
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills
• Ability to multitask and prioritize tasks
• Customer service orientation
• High school diploma; additional certification in office administration is a plus
