About the Position
We are now seeking a Documentation Specialist for the client's Manufacturing Science and Technology (MSAT) department in Uppsala – a role for those who want to help ensure that advanced development and change projects maintain high quality, structure, and traceability throughout the entire process.
The work will be conducted in close collaboration with both Swedish and international colleagues, and travel to Stockholm and the USA may occur.
Primary Responsibilities
As a Documentation Specialist, you will be an important support to project managers in driving technology and change projects forward. You will be responsible for ensuring that documentation, systems, and routines are handled correctly, updated in a timely manner, and meet the quality requirements of a regulated environment.
This is a role with both breadth and variation – you will work on everything from structuring documentation flows to administrative project follow-up and improvement of internal processes.
Example Tasks:
- Manage and administer documents in Veeva, Magic, and PLM systems
- Participate in the Magic Document Alignment process and ensure correct document linking
- Map, update, and improve document structures and work instructions
- Manage access and permissions in documentation systems
- Support project managers with resource planning, financial follow-up, and administrative coordination
- Prepare documentation for project meetings and contribute to ongoing reporting
- Participate in improvement work for efficient workflows and document management processes
You will work closely with experienced project managers and technical specialists in both Swedish and global project teams.
Who Are You?
For the documentation specialist role, we are seeking someone who enjoys a structured and administrative role, but also appreciates the dynamic nature of working in technology-driven projects. You are detail-oriented, responsible, and like creating order in complex information flows.
Qualifications:
- Experience with administrative tasks, preferably within project organizations
- Experience with document management in systems like Veeva, Magic, or PLM
- Experience working in Life Science or other regulated environments
- Very good skills in the Office package and SharePoint
- Fluent Swedish and English, both verbally and in writing
Meriting:
- Experience in GMP-driven environments
- Technical or scientific educational background
- Experience with project support in technical or R&D organizations
