We are seeking a Documentation Manager for an authority within the power sector.
This is a consulting assignment.
The position is full-time. The work location is Stockholm.
The assignment involves close collaboration with the client, which requires a high degree of flexibility and teamwork.
**The Assignment**
The role involves leading and quality-assuring the documentation process in a complex, multidisciplinary project. You will be responsible for ensuring that all technical documentation is accurate, complete, and adheres to project standards as well as regulatory requirements. The role requires close collaboration with project teams, suppliers, and other functions, contributing to order, structure, and progress in the project.
**Responsibilities**
- Lead and quality-assure the development, review, and approval of technical documentation.
- Ensure that all documents comply with project standards, regulations, and requirements.
- Coordinate and follow up on documentation deliveries from suppliers and internal teams.
- Develop and manage processes and routines for document management – including versioning, structure, and archiving.
- Review technical documents for completeness, accuracy, and regulatory compliance.
- Ensure proper archiving and version control for current and future needs.
- Support project teams in best practices for technical documentation and contribute to effective cross-functional collaboration.
- Manage and maintain databases and logs in EDMS/CDE systems.
- Serve as the primary contact for documentation-related inquiries and drive improvements in document management processes.
- Participate in key project meetings, including the Digitalization Meeting (bi-weekly) and Town Hall (monthly).
**Requirements (Mandatory)**
- At least 7 years of experience in technical document management in large engineering or industrial projects.
- Documented experience in final handover in at least one complex large-scale project.
- Excellent knowledge of document management processes, versioning, and industry EDMS/CDE systems (e.g., Aconex or similar).
- Ability to manage large volumes of documentation with high precision.
- Experience with smart digital archiving as a replacement for traditional archives.
- Deep understanding of engineering documentation, technical standards, and compliance.
- Very good insight into documentation life cycles and classification.
- Proficiency in Swedish and English, both spoken and written.
- Relevant post-secondary education, YH degree, or bachelor's degree in areas such as document management, industrial engineering, or construction engineering.
**Desirable**
- Experience with the transition to Digital Twin-based handover processes.
- Knowledge of Italian, French, or other languages.
