About this role

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our primary goal is to reduce recidivism – to break the cycle of crime. If we succeed, society will be safer and more secure for everyone. We are the authority responsible for prisons, probation, detention centers, and client transportation. The Umeå operational area includes the closed prison Umeå, the open prison Sörbyn, and the detention center Umeå. We are undergoing significant capacity expansion, and there is much happening in the operational area in terms of renovations and new constructions. The largest professional group is correctional officers, but we also have healthcare professionals, administrative staff, educators, production leaders, and more. At Sörbyn prison, inmates are engaged in labor market training, learning centers, various treatment programs, or work in the kitchen, carpentry, crop cultivation, packaging/assembly, etc. Sörbyn prison is an agricultural facility with grain cultivation and animal husbandry. At Umeå prison, inmates are employed in wood/industry, kitchen, learning centers, and treatment programs. The prison and detention center Umeå are about a 10-minute walk from the nearest bus stop, while Sörbyn prison is most easily reached by car. Staff parking is available at all units. **JOB DESCRIPTION** Within the Umeå operational area, there are three managerial support roles with different focuses. We are now seeking an engaged and service-oriented managerial support with a focus on personnel administration. You will be an important support for our managers in both daily processes and more long-term personnel issues. This role suits you if you thrive in an organized, meticulous environment and are committed to providing high-quality service. As managerial support, you will act as a local contact person for the recruitment and staffing unit. You will be the link between managers, staffing, and recruitment, contributing to a coordinated process. Together with the management team, you will work on developing a strategic plan for the organization’s recruitment needs and long-term competence supply. The role also includes analyzing and mapping training needs and proposing measures to ensure that employees receive the right skills development. Additionally, you will support the planning and implementation of staffing strategic initiatives to ensure sustainable and quality staffing over time. In this position, you will assist managers by drafting employment contracts and managing changes in employment. You will also be responsible for establishing and managing personnel files and administering permissions related to employment and card administration. Furthermore, you will be responsible for registering employees for training and coordinating activities within the authority's attraction mission. You will participate in and support staffing planning, assist with adjustments to PPA schedules, and handle other HR administrative tasks that arise in the organization. **QUALIFICATIONS** To thrive in the role of managerial support in the Umeå operational area, we believe you need good collaboration skills and the ability to establish new contacts easily. You will support the managers in a consultative manner, providing them with the knowledge they need to perform their work. We see that you are curious while also willing to share your own knowledge. As the role will evolve over time, you need to be self-driven, proactive, and adaptable to change. You will be responsible for maintaining order in folders related to larger forums, so it is important that you can work in a structured manner. As managerial support, you will assist managers in various contexts, which also requires you to have high integrity and a good ability to listen to the manager's support needs. We are looking for someone who has: • Academic education in human resources or equivalent education combined with relevant experience • Experience working with competence supply processes (recruitment, training, short-term staffing) • Experience in a coordinating role that involves driving, leading, and maintaining processes with multiple stakeholders • Proficient Swedish in both spoken and written form • Good experience working with various types of system support (e.g., personnel, payroll, or decision support systems) It is also advantageous if you have: • Experience in a similar role in the public sector • Experience in personnel administration • Experience in supporting managers **OTHER INFORMATION** The Swedish Prison and Probation Service has chosen to remove the personal letter and replaced it with selection questions relevant to the position.
