The Urology department encompasses the hospitals in Helsingborg and Ängelholm. We are divided into both wards and outpatient services, offering both emergency and elective care. The department's mission is to provide modern, high-quality, and patient-safe urological healthcare for the residents in our catchment area. This also means we have a close collaboration with the Surgical department, where we jointly manage staffing for the emergency department with primary on-call and house call services. The Urology department also has a regional educational and training mandate, within which we conduct internal training, medical education, residency training, specialty training, and continuing education for staff in the field of urology.

**JOB DESCRIPTION**
As an executive secretary, you will provide administrative support to managers and doctors in our department. The work primarily involves the department manager but also supports unit managers and physicians. You will be part of the management team and have a coordinating role with a good understanding of what is happening in the department.
In your role, you will be responsible for scheduling meetings and management team meetings and will also serve as the meeting secretary. For new staff, you will handle employment contracts, materials, permissions, and introductory conversations, and for existing staff, you will manage absences, leave, travel, and schedule changes. With us, you will be the hub of the network and part of most administrative tasks occurring in our department. You will also handle reporting cases from the Health and Social Care Inspectorate (IVO), the patient board, and our incident reporting system, as well as being the main editor for our intranet and home pages.
This position will give you great insight into the operations, and you will have the opportunity to grow and develop in your role.

**QUALIFICATIONS**
You have a recognized education in health and medical care administration (80 credits KY or 400 credits YH), or equivalent medical secretary training. Previous experience as a medical secretary and in HR administration or management support is an advantage, preferably within public administration. Furthermore, you possess excellent knowledge of Swedish, both spoken and written.
It is essential for the position that you have a high sense of service and the ability to build good relationships while treating every employee with respect. You are structured, meticulous, and contribute to creating efficiency in the administrative work for management while fostering a positive work environment. Additionally, you have a knack for coordinating and organizing and making the necessary decisions to ensure all details fall into place. The role requires a humble and confident person with good collaboration skills. You appreciate working under varying conditions and paces, are flexible, and can handle multiple tasks simultaneously. The work demands that you are self-driven, can take initiative, and are solution-focused.
