Our client is an authority managing Sweden's national power grid infrastructure. They conduct research and development projects in many areas to promote new technologies. Role Overview
As Chief Assistant, you will be a central support for the Management Projects department and its section managers. You will work both operatively and strategically with planning, coordination, and follow-up of administrative and coordinating tasks.
Key Responsibilities:
• Documentation and filing in Signe and W3D3
• Meeting and conference bookings, travel planning
• Intranet editor and internal information management
• Training coordination and participant administration in SABA
• Partial project management in line assignments and operational projects
• Minutes writing for steering group and leadership meetings
• Invoice handling and ordering via self-service portal
• Coordination of section and vendor meetings
• Support for employee onboarding and offboarding
• Management of delegations, contracts, and security classification
• Project administration and support to section and department managers
Candidate Profile:
Required Qualifications:
• Post-secondary education in economics, HR, administration, or equivalent work experience
• Minimum 8 years' experience as a chief assistant, including qualified coordination and administration
• Minimum 5 years' experience with MS Office (Excel, Word, PowerPoint, Outlook)
• Minimum 5 years' experience documenting and recording steering group meetings or similar decision-making forums
• Minimum 5 years' experience communicating with internal and external stakeholders
Preferred Qualifications:
• Experience in organizational development
• Experience supporting projects or programs in public sector
• Experience in energy industry, especially in leadership support or coordination roles
