About this role
MSB works for a safer society in a changing world with a focus on the development of civil defense. As of January 1, 2026, we will be the Authority for Civil Defense. The Authority for Civil Defense has two clear roles: we are the leading, directing, and coordinating authority in civil defense, and we are the sector-responsible authority for the emergency services and the protection of the civilian population. The vision of the Authority for Civil Defense is "Together for a strong civil defense."

Your responsibilities and tasks
As an administrator in the staff, you will support the department head and the staff with administrative tasks such as assisting with materials for presentations and meetings, coordinating meetings, scheduling, conference bookings, and case management.
You will work alongside the agency's management staff and other administrators with materials and inquiries. You will contribute suggestions on how administration can be developed and managed more efficiently within the department and the agency, and collaborate with other administrators in the agency.
Your knowledge and competencies
We are looking for someone who has:
- At least five years of experience working as an administrator for a manager, management team, or staff
- Experience working in a government agency or other public sector organization
It is advantageous if you have:
- Financial expertise
- Knowledge of systems such as Agresso, Jira, SharePoint, Excel, and Public360.

As of January 1, 2026, the employee and leadership criteria will be replaced by the Authority for Civil Defense's approach for employees and leaders: The approaches apply in everyday situations, crises, and wars. The three approaches should be viewed as a whole and build on each other: collaborative – proactive - action-oriented.
As an administrator, you are motivated by creating structure, order, and clarity. You are flexible, proactive, and self-driven. Furthermore, you feel confident prioritizing and making decisions, and you communicate clearly and directly. You enjoy the role of administrator and like to perform your work with a high degree of service. You adapt to changing circumstances and can see opportunities in changes.
About the employment
We offer you a permanent full-time position that begins with a probationary period.
Your workplace will be in Stockholm, and travel may be required as part of the job.
The majority of our positions involve placement in a security classification. Typically, Swedish citizenship is required. For positions in a security classification, a security clearance with a background check will be conducted prior to employment in accordance with Chapter 3 of the Security Protection Act. Most employees at MSB are assigned to wartime positions.
About us
In the staff of the Department for Crisis Preparedness and Civil Defense, we are about 10 employees, located in both Karlstad and Stockholm.
We have an activity-based office where you can choose your workspace according to your needs. You also have the opportunity for remote work to some extent.
