About this role

Ref: 20252644 The special housing units within the City of Malmö consist of five entities. We are currently seeking an assistant to be placed in Unit 1, which is divided into eight sections. Job Responsibilities As an assistant, you will provide daily and proactive support to our managers and teams. Your tasks will include: • Practical work with daily staffing and schedule planning. • Administration in systems such as Medvind/H-rutan and Ekot. • Ordering of consumables and work clothing. • Handling of error reports, receiving deliveries and contractors. • Booking training for staff. • Contact with operations during the relocation of new users. • Management of permissions in various IT systems. • Coordination of interns and labor market employment. Qualifications • High school education with a focus on administration or nursing assistant training. • Documented experience in staffing planning and overall personnel planning. • Experience in coordination tasks within healthcare and/or care and support. • Previous administrative work, preferably within the municipal sector, is an advantage. • Experience working in a 24-hour operation is a plus. • You are accustomed to using a computer as a work tool and can quickly familiarize yourself with new programs and systems. • Good knowledge of current support systems such as Medvind and Personec P is an advantage. • Proficient in Swedish, both spoken and written. This helps you meet deadlines and ensure that administrative tasks such as managing permissions and booking training are performed correctly and on time. • Service-Oriented: A calm and attentive approach, as well as the ability to help others and deliver solutions, is essential for handling error reports, receiving deliveries, and assisting managers in their daily work. • Self-Motivated: You will need to take responsibility for your tasks and drive your processes forward independently. This is important for managing orders, administration, and quickly familiarizing yourself with and using new systems.
