Are you interested in working closely with the city's top management and contributing to developing an effective and professional support in the municipal organization? We are now seeking a structured and committed administrator with experience in providing qualified and professional support to the city's top management and municipal councilors.
The position is located at the city executive administration's city office. The city office is tasked with steering, supporting, developing, and following up the city's overall information management and committee processes. This includes responsibility for the political case process, record-keeping, archives, and coordination and administration for the municipal executive board and municipal council.
WORK TASKS
As a qualified administrator, you are an important support to the city director and the municipal executive board's chair and vice chair. You have a central role in creating structure, order, and smooth processes in daily work, and you actively contribute to developing and streamlining the city's administrative working methods.
The work is varied and requires both precision, integrity, and a very good sense of service. You enjoy working closely with decision-makers, have an eye for detail, and a genuine interest in creating quality and development in everything you do.
Your tasks include, among others:
• Managing meeting and travel bookings for the city director and municipal councilors.
• Organizing and preparing introductions and training for new managers and employees, including venue booking, agenda, and meeting materials.
• Responsibility for gratuities and Christmas gifts.
• Handling correspondence and communication on behalf of the city director and municipal executive board's chair and vice chair, and serving as a link between them and internal or external contacts.
• Participating in planning and implementation of meetings and events, both internally and externally.
• Contributing to improvement and development work in administration, including streamlining routines and processes using digital tools and system support.
A particularly meaningful part of the assignment is coordinating the city's civil weddings and actively participating in connection with weddings. This means you will meet people in important life moments and contribute to creating a ceremonial and memorable occasion.
QUALIFICATIONS
We are seeking someone with a relevant post-secondary education in administration, business economics, or similar field, alternatively other education and/or experience deemed equivalent.
You have several years of experience in qualified administrative work, preferably as a management secretary or in a similar role where you have supported management or executives. Experience from a politically governed organization is meritorious, as is previous experience from both public sector and business.
You express yourself very well in Swedish and English, both verbally and in writing, and are well-versed in working with various digital systems. You have experience developing and streamlining administrative processes using digitalization and IT support, and see technology as a natural tool to simplify work.
To thrive and succeed in the role, you are structured, responsible, and meticulous, with the ability to see both the big picture and details. You have a natural sense of order, enjoy a supportive role, and are accustomed to coordinating and organizing others' work.
As the role involves many contacts both internally and externally, you have a pronounced sense of service and good communication skills. You collaborate without prestige, take your own initiatives, and actively contribute to developing working methods and routines. We place great importance on personal suitability.
