The Administrative Support Unit is now seeking an administrative assistant who is service-oriented, attentive, and humble. Your responsibilities: A significant part of the job involves handling, sorting, and investigating all incoming mail and faxes. Other tasks include managing the sector's archives, responding to inquiries from and providing extracts to authorities, communicating with the city's residents regarding certificates, registering documents in the city’s operational system Pulsen Combine, administering personal and home visit alarms, and other tasks within social services. As an administrative assistant, you will thus work with mail handling, archiving, and dispatching. Additional tasks may include writing minutes, notes, managing case files, and generally acting as a quality internal service provider. Much of what we do involves confidential information, so you need to be aware of, able to handle, and feel comfortable working with confidentiality. Within the sector, we place great value on empathy and understanding of the diverse needs and challenges faced by our target groups, where respect for privacy is essential. Your qualifications and attributes: We want you to be accustomed to working in a structured manner and able to prioritize when necessary. You are meticulous, can easily understand and work according to established routines, and have an eye for detail. The position demands a strong sense of service and interpersonal skills, as well as personal responsibility for your tasks while maintaining close collaboration with the team. To succeed in this role, you need to have completed a high school diploma, professional experience in social services, and preferably experience with the operational system Pulsen Combine or equivalent. You must be able to understand and manage various cases daily and have an investigative approach to ensure the correct handling of the diverse matters you work with. Good knowledge of the Office suite, especially Word, Outlook, and Teams, as well as a high level of digital maturity, is essential for success in this role. It is important that you are proficient in the Swedish language, both spoken and written. Meritorious: Experience and knowledge of the operational system Pulsen Combine, knowledge of conducting searches in Infotorg. Equivalent administrative work within social services and/or previous experience as a caseworker in social services or similar. Other: You will largely work functionally, where shared tasks are performed according to a schedule. The work is primarily conducted in Sundbyberg City Hall.
