The National Board of Health and Welfare is now seeking an administrator for the Department of Crisis Preparedness and Civil Defense, positioned in the Unit for Planning, Coordination, and Evaluation. About the Position Since October 1, 2022, the National Board of Health and Welfare has been the sector-responsible authority for preparedness work in the health, medical care, and social services sector. This means the agency has an expanded responsibility to strengthen coordination and drive the development of preparedness during peacetime crises, heightened alert, and war. The National Board of Health and Welfare collaborates closely with the Armed Forces, other preparedness agencies, county administrative boards, civil area-responsible county administrative boards, and various international actors. Job Responsibilities The position involves administrative work and coordination support for the four units in the department, special projects, and unit managers to alleviate and ensure administrative work is performed efficiently and according to rules and routines. This includes planning processes and annual cycles led and coordinated by the department, involving internal and external actors within the department's area of responsibility. Examples of tasks include: • Support for managers including calendar management, task prioritization, and activity planning and follow-up • Planning and organizing meetings, conferences, and travel, including venue, travel, and accommodation booking • Handling administrative tasks such as document management, meeting minutes, and case management in digital systems • Basic invoice handling, quote/order management, and simple budget follow-up • Coordination and follow-up of project administrative tasks, such as timelines and documentation • Communication with internal and external actors, including professional written and verbal contact About You You have excellent collaboration skills, are responsible, and have a structured work approach. You can analyze complex issues and translate them into clear strategies and concrete results. You thrive in an environment with numerous external contacts and want to contribute to developing Sweden's total defense. Qualification Requirements We are seeking candidates who have: • Current experience working with administrative support in a government agency • Strong ability to communicate clearly and professionally, both verbally and in writing, with experience in writing minutes and responding to inquiries from internal and external stakeholders • Experience organizing and coordinating meetings, conferences, and travel, including venue, travel, and accommodation booking, invoice handling, and quote/order management • Fundamental and current understanding of government operations and how agencies work • Excellent ability to work independently and prioritize emerging and routine tasks to effectively support units in their daily activities with a service-oriented approach Additional Meriting Qualifications It is advantageous if you have: • Experience handling sensitive or confidential information • Knowledge of healthcare or social services (organization and function) • Knowledge of the crisis preparedness and civil defense system Good to Know This is a full-time, permanent position starting with a six-month probationary period. You will be based in the Stockholm office but can work remotely up to two days per week. Your job title will be investigator, positioned in the Department of Crisis Preparedness and Civil Defense, Unit for Planning, Coordination, and Evaluation. The position is classified in a security class, and a security review with register check will be conducted before an employment decision is made. The position requires Swedish citizenship.
