Job Duties
As a registrar, you will work with daily and ongoing administrative tasks involving the management of both analog and digital documents. You are responsible for handling incoming mail, registering documents in our document and case management system Platina, and ensuring that documentation is handled correctly and efficiently. As a registrar, you serve as a crucial link in the information flow of the administration.
The position also includes handling incoming inquiries, coordinating and executing mailings to external parties, and managing physical mail. The work focuses on precision and structure to ensure smooth administration and communication both internally and externally.
You will also answer questions from employees and the public, and keep public documents accessible in accordance with the principle of public access.
In your role as a system superuser, you will provide support in the system and contribute to some system support for the administration's employees. In this role, you are expected to participate in quality assuring and developing the information management process, which includes participating in municipal network meetings.
As a registrar, you are also active in archiving the operational system's physical documents and serve as a backup in our reception when needed.
Qualifications
We are seeking candidates with a completed high school education and experience with similar tasks in the public sector.
You should be a proficient user of various IT systems and have the ability to easily adapt to new systems. Specific experience with Platina and/or Lifecare systems is meritorious. Experience working in administration within Malmö City is also considered advantageous for the position.
Additionally, experience or knowledge of the following is meritorious:

• Administrative law
• Municipal law
• Public access and confidentiality act

You will belong to the Committee Unit, which is one of four units in the Sustainability, Quality, and Committee Department.
The Sustainability, Quality, and Committee Department works with socially sustainable development, management and development of committee administration, case management, support and analysis for development and quality work within labor market and social work. The department belongs to the management staff.
