In this role, you are a central function in the organization, working on behalf of our assistance managers, as well as other office functions. You thrive in an environment where a lot is happening, where each day is different - and where your work contributes to making things easier for other functions.
Your Main Responsibilities
A large part of the position consists of staff scheduling and administrative support. In your role, you will among other things receive short-term absence notifications by phone and assign substitutes for vacant shifts. This work can sometimes require working at a high pace with many tasks simultaneously. You will also work on filling vacant shifts, such as during requested leave or ongoing recruitment. You will have contact with assistants and customers by phone, primarily for substitute assignments. You will work independently based on our routines and with a high service level. Sometimes you'll need to think creatively and solution-oriented to find functional staffing solutions.
Examples of Administrative and Office-Related Tasks
Beyond staff scheduling, you will also be responsible for various administrative tasks, such as managing employment contracts and entering assistants' schedules in Fast, our HR system. Book assistants for training, compile lists and administer forms for the Social Insurance Agency and Municipality. You will also make office purchases, such as refreshments for various meetings. Ensure the coffee machine is filled and keep the office pleasant by watering plants and contributing to a welcoming office environment for customers and assistants visiting, and for those of us working here.

Qualifications
We are looking for someone with experience in administration, customer service, or work within personal assistance. You need good computer skills in Office, and preferably experience with staff scheduling. We are seeking someone with a complete high school education.
To succeed in the role, you need to be able to prioritize, structure, and handle rapid changes, and communicate well verbally and in writing. You enjoy varied work, are service-minded, stress-resistant and meticerous, and have an easy time collaborating. You need to like solving staffing issues and putting together creative solutions.
